Requesting Access to Employee Emails

 

 

The HR Department must pre-authorize any request to access an employee's inbox, emails, voicemails, and/or instant messages (IMs) for any reason. Any request for access must be submitted through SERV for review. In your SERV ticket, please include the following:

 

Name of employee

If the request involves multiple employees, please send an individual request for each employee.

Access Start

This is the date when access to this employee’s inbox, emails, voicemails, and/or IM is requested to start.

Access End

This is the date when access to this employee’s inbox, emails, voicemails, and/or IM is requested to end and will be shut off by IT. If this date is unknown, it will be the responsibility of the manager to follow up with IT as soon as this date becomes known.

Reason for requesting access

Please be as detailed as possible in your explanation for needing access to your employee’s inbox/email/voicemail/IMs.

Type of access requested

  • Access to employee’s entire inbox (this should only be requested when the employee has separated.)
  • Access to employee’s email (this type of request must include a specific date, time, and recipient of a particular email.)
  • Access to employee’s voicemail (this should only be requested when the employee will be out on an extended leave of absence.)
  • Access to employee’s IMs (this type of request must include a specific date, time, and recipient a specific IM)
  • Block employee access to the inbox (this type of request should be only to protect information from being destroyed or if the employee is on an extended leave to block access.)
  • Redirect emails from a specific email (please specify the email address of the incoming messages and the email they should be redirected to)
  • Forward all employee’s emails (please specify the email address to which these emails should be forwarded. This should only be requested when the employee will be out on an extended leave of absence.)

 

 

Once your SERV ticket is received by HR, it will be reviewed and you will be notified via SERV whether or not the request is approved. If approved, the manager can then create a PC Track It and submit to IT with the approval email from SERV attached. Please do not send these types of request to IT without HR approval.
